First configuration

Use this guide to prepare N24 Advanced Prepayments and create and settle your first sales prepayment.

✅ Prerequisites

  • The extension is installed in Business Central.
  • The user is assigned the permission set.
  • Sales & Receivables Setup contains a general ledger account with direct posting enabled.
  • The sales order contains a salesperson code, bill-to customer, sales lines, and VAT posting groups.

1️⃣ Complete the settings

  1. In Search, open Sales & Receivables Setup.
  2. In the Prepayment Invoices section, complete Prepayment G/L Account No..
  3. Decide whether to enable Prepayment Ledger Entries Must Have Cust. Ledger Entry No..
  4. To protect orders with unsettled prepayments from deletion, enable Prevent Deletion of Sales Order if Prepayment Invoices Are Not Settled.

2️⃣ Create a prepayment invoice

  1. Open a Sales Order with a bill-to customer and salesperson completed.
  2. Select Create Prepayment Invoice.
  3. Review the currency, maximum available amount, and the Prices Including VAT setting.
  4. Enter Prepayment Amount or Prepayment Amount %.
  5. Complete Prepayment Line Description and decide whether to copy line descriptions as comments.
  6. Confirm the page, review the created sales invoice, and post it using the standard process.

3️⃣ Record payment

If Check Prepayment when Posting is enabled in the standard sales settings, the prepayment must be paid before it is selected automatically for settlement.

4️⃣ Settle the prepayment

  1. Open the order or sales document containing order lines.
  2. Select Prepayment Invoice Settlement.
  3. Enter the Amount to Settle or use the maximum amount.
  4. Confirm the selection and review the negative settlement lines.
  5. Post the sales document.
