Transport Orders
Create and manage transport orders in Business Central from sales orders, quotes, or warehouse shipments using the TMS wizard.
A transport order is a new document in the system, where data is collected about:
- what we want to send
- where we want to send from
- where we want to send to
- the shipping method, which includes how the goods are packed and what transport service we use
- the current shipment status
Transport orders, regardless of the source document from which they were created, are created separately, unifying all shipping processes and subsequent analyses.
❓ Where can the shipment be fulfilled from?
- Sales Quote
- Sales Order
- Warehouse Shipment
- From TMS | New Transport Order Without Doc. — the ability to create a transport order without a source document: for a Customer, for a Vendor, or as an unlinked order (manual data entry).
Sales Order and Warehouse Shipment
To create a transport order for a sales order, from the list or directly from the card:
- Locate and click on the TMS action bar.
- Then click on Create Transport Order.
- Select the desired logistics service and click Yes.
Without a Source Document
- Search for the page named TMS | New Transport Order Without Doc..
- In the Type field, choose one option:
- Customer — the No. field is required. The order will be created for the selected customer.
- Vendor — the No. field is required. The order will be created for the selected vendor.
- Blank Type — the order will be created without any source-document link. All order data must be entered manually.
- Click OK.
🚀 Creating a Transport Order
Creating a transport order differs slightly depending on the selected logistics service. Below is the process for each logistics service.
If you use an integration, set Logistics Service for the selected Carrier. When you create an order, the system selects this service automatically. If the carrier has no assigned logistics service, select it manually.
Pickup Hours
After selecting a courier pickup and specifying the pickup date, the Pickup Time From and Pickup Time To fields appear. Fill them in when the carrier should arrive within a specific time range.
The entered hours are shown in the transport order summary and can be changed before submitting the order.
No Logistics Service
No logistics service means creating a transport order that will not be sent to any carrier. All TMS functions remain active.
Basic Information
Complete and verify the sender's and recipient's address information. Based on system data, all known information has been entered automatically.
Packaging
This step is for entering all packages/pallets to be sent in the transport order. Fill in the required fields.
Tip
If you are using a properly configured Suggested Packages module, and the packages have been correctly calculated, we will fill in the packaging rows based on the calculations.
Product
This step is for correctly selecting the carrier, logistics service, and shipment date, if applicable.
If no carrier or logistics service was selected in the source document, a window will appear with the selection of the carrier and service.
Choose the shipment type. After selecting the courier pickup, enter the suggested shipment date.
Additional Information
In this section, you can enter optional information.
Summary
The final step in the transport order creation process. It summarizes all the collected information and performs a final verification.
To confirm the transport order, click Place Order.
A window with the total order price will appear. After confirming and clicking Yes, the order will be submitted.
If adding cost to the source document is enabled in TMS | Setup, the cost will be automatically added to the source document, or a question about adding the cost will be displayed.
Tip
If you are using a properly configured Minimum Order Value module, adding the cost will depend on whether the minimum has been met in the source document.
Tip
If you are using a properly configured Minimum Order Value module, you can show the transport cost on the source document as a line with a 100% discount if the minimum is met. The setting is available in TMS | Setup (Minimum Order Value).
- Successful order submission will open the order card.
Raben
The Raben order-creation process uses a dedicated wizard. For configuration, mapping, required information, order sending, statuses, and labels, see Raben Integration.
🔗 Manage Orders After Creation
- Routes and shipment tracking — assign orders to routes and print load lists. If you use an integration, you can also check tracking history.
- Packaging instructions — check packaging requirements on a document before preparing a shipment.
- Send a transport order by email — send a transport order PDF report to addresses assigned to the carrier.
📋 Transport Orders List
On this page, you can see all transport orders in the system. The page is accessible from the search by typing TMS | Transport Orders.
The top part of the page contains dynamic filters that easily allow filtering orders.
Clicking on Order No. will open the card.
Batch Cancel and Delete on the List
From the list you can now run Cancel and Delete for selected rows.
- Select one or more transport orders.
- Choose Cancel or Delete.
- Confirm the action in the dialog.
The system verifies each selected order separately:
- orders that meet the status rules are processed,
- orders that do not meet the rules are skipped,
- after processing, you see one summary message with order numbers that could not be canceled or deleted.
📘 Transport Order Card
The transport order card is used to display all the information about the order.
By expanding the FactBox pane, a panel on the right side will reveal all the source documents for the current order. Below are actions that allow downloading the label, opening the transport orders list, and launching the page for tracking the shipment.
If the transport order was created from a source document, the external document number is copied to the transport order automatically. This makes it easier to link the transport order to the related sales, purchase, or warehouse shipment document.
Cancel and Delete on the Card
On the card, Cancel and Delete actions require confirmation before execution.
- Use Cancel when the current status allows cancellation.
- Use Delete only for statuses that allow deletion.
Address Fields Visibility
Sender and recipient Building No. fields are shown only for logistics services that require separate building-number input.
For services that do not require separate fields, the building number is handled together with the street value.
