N24 Advanced Prepayments

Create, post, and settle sales prepayments without manually reconciling documents.

N24 Advanced Prepayments supports sales-order prepayments, including VAT allocation, settlement, and exchange-rate differences.

N24 Advanced Prepayments supports prepayments linked to sales orders. It creates prepayment invoices split by VAT groups, records prepayment history, and lets you settle them on sales invoices and credit memos. It also posts exchange-rate differences automatically, reducing manual reconciliation for foreign-currency sales.

⚖️ What the extension adds to Business Central with the Polish localization

The Polish localization supports documents that meet Polish requirements. N24 Advanced Prepayments guides the process when one sale needs several prepayments, partial settlements, or foreign-currency processing.

Creating a prepayment invoice A prepayment invoice created from an order is posted immediately. You create a prepayment invoice in draft status, review it, and modify it before posting.
Order changes Issued prepayments are closely linked to order lines, which limits later changes. You can change the order scope, quantity, or value after issuing a prepayment without cancelling documents.
Final-document settlement The system automatically settles available prepayments while creating the final invoice. You select which prepayments to settle and the amount to settle on the final invoice.
Process visibility Payment and settlement information requires reviewing documents and ledger entries. On the Sales Order, you see the payment status, prepayment balance, number of settlements, and linked documents.
Different VAT rates The VAT structure must remain correct across documents. The prepayment amount is split proportionally by VAT groups, and settlement retains the same VAT posting groups.

💼 Why use the product

The module organizes the process from receiving an order to settling the final document:

  • Less manual work - the wizard calculates the limit for the next prepayment, allocates the amount by VAT, and creates a ready-to-post sales document.
  • Fast decisions on the order - all linked prepayments, their balances, and payment statuses are visible under the order lines.
  • Financial control - the system prevents exceeding the remaining amount, settling an incompatible currency, or changing the VAT structure.
  • Foreign-currency sales support - when settling, the product compares the rates of the prepayment and final document and posts the difference to standard currency accounts.
  • Complete history - the ledger stores the source document, settlements, corrections, dates, amounts, and rates.
  • ITI compatibility - prepayment documents are marked with standard fields and remain available in ITI correction processes.

🔄 Flexible changes and corrections

After issuing a prepayment, you can still change the scope, quantity, or value of the Sales Order. You do not need to cancel prepayments or create documents again.

When creating the final document, you select the prepayment invoices and amounts to settle. You can also correct an individual prepayment without affecting other documents. The ledger shows payment status, balance, number of settlements, and all linked documents.

❓ What the product does

  • creates a prepayment invoice from a Sales Order;
  • calculates the net or gross amount according to the Prices Including VAT setting;
  • allocates the prepayment proportionally across VAT posting groups;
  • records the original amount and the amount remaining to settle;
  • validates currency, payment, bill-to customer, and the sales-order link;
  • settles prepayments on sales invoices and credit memos;
  • protects the order from changes that could break VAT settlement;
  • calculates and posts exchange-rate differences automatically for foreign-currency settlements;
  • archives the linked order after posting the prepayment invoice;
  • works with the ITI sales-document integration.

📋 Requirements

Before you start, prepare a general ledger account with direct posting enabled and assign it in the extension settings. The sales order must contain a salesperson code, a bill-to customer, and correctly completed lines and VAT posting groups.

The product supports sales prepayment processes. It does not create purchase prepayments.

🧭 Example scenarios

Partial prepayment with final settlement

An order is worth PLN 50,000, and the customer pays a 30% prepayment. The wizard creates a PLN 15,000 invoice. After posting the final document, you select and settle the prepayment in one action. The remaining document value is PLN 35,000.

Foreign-currency prepayment

An order is for EUR 10,000, and the prepayment is EUR 3,000. If the prepayment and final-document rates differ, the product calculates the difference for the amount actually settled and creates a system entry using the gain or loss account set up for the currency.

Order with multiple VAT rates

If an order contains items from different VAT groups, for example 8% and 23%, the prepayment is allocated proportionally by VAT bases. Each group receives a separate general ledger account line on the prepayment invoice.
